The Academic Data Management Office (ADMO) is committed to supporting faculty, staff, and researchers by providing accurate, timely, and actionable data to inform strategic planning, operational improvements, and academic research. Our services include customized ad hoc reporting, development of institutional reports and dashboards, data integration solutions, and expert guidance on data interpretation and analysis.
We prioritize the privacy and security of student educational records. We comply with laws like the Family Educational Rights and Privacy Act (FERPA), which strictly governs the disclosure of both directly and indirectly identifiable student information.
Data Request Guidelines:

Eligible Requestors: University employees and researchers with a legitimate educational interest may request access to protected student data.

Limitations: Even within the university, access to student-level data is not guaranteed and is restricted to the minimum necessary to perform assigned duties.

Research Use: Researchers requesting identifiable student data must obtain IRB (Institutional Review Board) approval and demonstrate that the data use complies with FERPA guidelines. Research must also demonstrate that it is in the best interest of the study subjects and/or the student body at large.

De-identified or Aggregate Data: In alignment with FERPA and university policy, data is typically provided in de-identified or aggregate form. Requests for identified student-level data are granted only when a clear, legitimate educational or research need is demonstrated.
- What to Include in Your Request: Clearly specify the exact data elements you need, the relevant date ranges (e.g., year and academic quarter), the specific cohort you’re interested in, and the purpose of your request. All requestors should limit their request to the minimum data necessary to perform their task. Researchers must also include proof of IRB approval when requesting identified or sensitive student-level data. Incomplete or overly broad requests may be delayed or denied.
All data requests are reviewed to ensure compliance with university policies and federal regulations. Disclosure of identifiable or restricted data is ultimately up to the discretion of the University Registrar and is not guaranteed unless compelled by law. We encourage requestors to reach out early in their planning process so we can provide consultation and support.
